This Privacy Policy explains how PilotMP collects, uses, stores, and shares information when you use the PilotMP platform.

This Privacy Policy explains how PilotMP (“PilotMP,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you access or use the PilotMP website, applications, marketplace, and related services (collectively, the “Platform”). By using PilotMP, you acknowledge the data practices described in this Privacy Policy.
1. Information We Collect
We may collect information you provide directly to PilotMP, information generated through your use of the Platform, and limited information from service providers used to operate PilotMP.
A. Account Information
When you create or maintain an account, we may collect information such as:
- Name
- Email address
- Telephone number
- Account type
- Company or organization
- Job title or role
- Profile photograph
- Home base or airport
- City, state, or general location
- Account preferences
- Authentication and account-security information
B. Crew Professional Information
Crew Members may provide professional information including:
- Pilot or crew role
- Certificates
- FAA type ratings
- Aircraft experience
- Total flight time
- PIC/SIC experience
- Training information
- Recurrent training
- Medical-certificate information
- Employment history
- Résumé information
- Availability
- Preferred work type
- Home base
- Professional biography
- Other aviation qualifications or experience
PilotMP may use this information to create profiles and facilitate crew discovery and matching.
Unless PilotMP expressly states that a particular verification service has been performed, professional information is primarily supplied by users and should not be interpreted as independent verification by PilotMP.
C. Operator and Operator Information
Operators may provide information including:
- Individual or company name
- Contact information
- Company information
- Aircraft information
- Fleet information
- Job postings
- Crew requirements
- Assignment requirements
- Hiring preferences
- Billing and membership information
D. Documents
Crew Members may upload documents such as:
- Pilot certificates
- Medical certificates
- Training records
- Recurrent training records
- Passports
- Résumés
- Insurance-related documents
- Other professional documents
Documents are subject to PilotMP’s document-sharing controls.
PilotMP may process document metadata and sharing activity necessary to provide document-management functionality.
PilotMP may also record whether a document was:
- Provided
- Shared
- Reviewed
- Accepted for an assignment
- Rejected or not accepted
- Marked expired
- Subject to a request for additional information
A Operator’s review status does not constitute PilotMP verification of the underlying document.
E. Job, Application, and Hiring Information
When users participate in the PilotMP marketplace, we may collect and maintain information relating to:
- Job postings
- Applications
- Invitations
- Candidate status
- Quotes
- Proposed compensation
- Negotiated engagement terms
- Requested documents
- Hiring stages
- Engagement confirmations
- Assignment details
- Cancellation information
- Completion status
- Reviews
- Repeat engagements
F. Communications
PilotMP may collect and store communications sent through Platform messaging features. This may include:
- Message content
- Message participants
- Date and time
- Job or assignment context
- Attachments
- Message-delivery or read status where supported
PilotMP may process communications as necessary to provide messaging functionality, maintain conversation history, prevent fraud or abuse, enforce Platform rules, protect users, detect prohibited content, operate pre-confirmation contact-information controls, investigate reports or disputes, and maintain Platform integrity.
G. Contact-Information Detection
Before an engagement is confirmed, PilotMP may use automated systems to detect or restrict apparent direct-contact information in Platform communications. This may include apparent email addresses, telephone numbers, messaging-app identifiers, social-media handles, or other direct-contact information.
These systems are intended to support PilotMP’s engagement-confirmation workflow and Platform safety. Automated systems may occasionally identify information incorrectly. PilotMP does not manually review every message.
H. Platform Activity and Analytics
PilotMP may collect information about how users interact with the Platform, including:
- Searches
- Search filters
- Profile views
- Job views
- Invitations
- Applications
- Messages
- Quotes
- Engagement confirmations
- Assignments
- Reviews
- Page visits
- Feature usage
- Login activity
- Account activity
PilotMP may use this information to operate, secure, analyze, and improve the Platform and to provide marketplace analytics.
I. Technical Information
When users access PilotMP, we may collect technical information such as:
- IP address
- Browser type
- Device type
- Login timestamps
- Request information
- Error logs
- Security events
- Approximate country derived from network information where applicable
J. Membership and Billing Information
PilotMP may collect information relating to memberships and subscriptions, including:
- Membership tier
- Subscription status
- Billing status
- Renewal date
- Transaction and subscription identifiers
- Invoice information
- Payment status
Payment processing is provided by Stripe. Payment-card information is collected and processed directly by Stripe. PilotMP does not receive or store full payment-card numbers.
PilotMP receives limited billing, subscription, transaction, and payment-status information necessary to administer memberships.
K. Email and Marketing Information
PilotMP may collect information related to:
- Transactional emails
- Account notifications
- Job notifications
- Marketplace notifications
- Newsletter subscriptions

- Email-delivery status

- Provide Crew Member profiles
- Provide Operator profiles

- Match Crew Members with opportunities

- Facilitate engagement confirmation
- Generate Crew Engagement Agreements
- Generate Trip Sheets
- Create and manage assignments

PilotMP may also use aggregated or de-identified information for analytics, research, product development, and marketplace insights where permitted by applicable law.
3. Matching and Recommendations
PilotMP may process professional and job-related information to identify, rank, recommend, or display potentially relevant Crew Members. Information used may include:
- FAA type ratings
- Aircraft experience
- PIC/SIC experience
- Flight hours
- Training
- Recency
- Availability
- Certificates
- Location
- Job preferences
- Operator requirements
Matching and recommendation features are intended to assist marketplace discovery.
They do not constitute PilotMP verification or a determination that a Crew Member is legally, medically, operationally, or otherwise qualified for a particular assignment.
4. How Information May Be Shared
PilotMP may share information in the circumstances described below.
A. Between Operators and Crew Members
Information may be shared between Operators and Crew Members as necessary to provide marketplace functionality. For example, Operators may see professional information that a Crew Member makes available through their profile, and Crew Members may see relevant information about Operators and job opportunities.
Documents remain subject to PilotMP’s document-sharing controls.
Contact information may be restricted before engagement confirmation and made available after confirmation according to Platform rules and user permissions.
B. Service Providers
PilotMP uses service providers to operate parts of the Platform. These include providers of:
- Hosting
- Database infrastructure
- Authentication
- File storage
- Email delivery
- Payment processing (Stripe)
- Analytics and error monitoring
- Security
- Other technology services
Service providers may process information as necessary to provide their services to PilotMP.
C. Legal and Safety Reasons
PilotMP may disclose information where reasonably necessary to:
- Comply with applicable law
- Respond to valid legal process
- Protect the rights or safety of PilotMP or others
- Investigate fraud
- Investigate security incidents
- Enforce the Terms of Service
- Prevent abuse or misuse
D. Business Transactions
If PilotMP or its business is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, information may be transferred as part of that transaction, subject to applicable law.
E. With User Direction or Consent
PilotMP may share information when a user directs PilotMP to do so or otherwise provides consent.
5. Document Privacy
Documents uploaded by Crew Members are intended to remain private except as shared through PilotMP’s document-sharing controls or as otherwise described in this Privacy Policy.
Crew Members control which documents they share with Operators where the Platform provides such controls. Sharing a document with one Operator does not make it available to other Operators.
Operators should use shared documents only for legitimate hiring, qualification, assignment, regulatory, insurance, or related business purposes.
PilotMP may maintain records of document-sharing and review activity to operate the Platform and maintain assignment records.
6. Profile Visibility
Crew Member profiles may contain information visible to Operators or other users depending on the Crew Member’s privacy settings, account status, membership features, and PilotMP’s Platform rules.
Users should review their profile and privacy settings before publishing information.
PilotMP does not expose private contact information or private documents publicly unless the applicable user has intentionally authorized that disclosure through Platform functionality.
7. Contact Information
PilotMP may restrict direct contact information before an engagement is confirmed.
Following engagement confirmation, PilotMP may make authorized contact information available to the Operator and Crew Member so they can coordinate directly. After confirmation, the parties may communicate outside PilotMP.
PilotMP does not require crew compensation to be paid through PilotMP.
8. Data Retention
PilotMP retains information for as long as reasonably necessary to:
- Provide the Platform
- Maintain user accounts
- Maintain assignment and engagement records
- Provide reviews and marketplace history
- Maintain legal and business records
- Prevent fraud and abuse
- Resolve disputes
- Enforce agreements
- Meet applicable legal obligations
Retention periods may vary depending on the type of information and the purpose for which it is maintained.
9. Data Security
PilotMP uses reasonable administrative, technical, and organizational measures intended to protect information.
However, no online service, database, transmission method, or storage system can guarantee absolute security.
Users are responsible for maintaining the confidentiality of their account credentials and should notify PilotMP if they believe their account has been compromised.
10. User Choices and Rights
Depending on applicable law and Platform functionality, users may be able to:
- Access account information
- Update profile information
- Correct inaccurate information
- Manage profile visibility
- Manage document sharing
- Manage communication preferences
- Unsubscribe from marketing communications
- Request account deletion
- Request information regarding personal data maintained by PilotMP
- Exercise other rights available under applicable privacy law
Privacy requests, including requests to access or delete account information, may be sent to info@pilotmp.com.
Some information may need to be retained after account deletion where reasonably necessary for legal compliance, fraud prevention, security, dispute resolution, enforcement of agreements, or legitimate business records.
11. Marketing Communications
Users may opt out of marketing communications by using available unsubscribe controls or account preferences.
PilotMP may continue sending transactional or service-related communications necessary to operate an account or provide requested services, where permitted by law.
12. Cookies and Similar Technologies
PilotMP and its service providers may use cookies, browser storage, and similar technologies as necessary to:
- Maintain sessions
- Authenticate users
- Remember preferences
- Protect Platform security
- Understand Platform usage
- Improve Platform functionality
PilotMP does not use advertising cookies or third-party advertising trackers.
13. Third-Party Services
PilotMP may contain integrations or links to third-party services.
Use of third-party services may be subject to the privacy policies and terms of those providers.
PilotMP is not responsible for the privacy practices of independent third-party services.
14. Children’s Privacy
PilotMP is intended for professional aviation marketplace use and is not intended for children.
Users must satisfy PilotMP’s applicable account eligibility requirements described in the Terms of Service.
15. International Users
PilotMP may be accessed by users located outside the United States.
Information may be processed or stored in the United States or other jurisdictions where PilotMP or its service providers operate.
Where required by applicable law, PilotMP will use appropriate mechanisms for international transfers of personal information.
16. Changes to This Privacy Policy
PilotMP may update this Privacy Policy from time to time.
When changes are made, PilotMP may update the “Last updated” date and the Privacy Policy version shown at the top of this page.
Where required or appropriate, PilotMP may notify users of material changes and request renewed acknowledgment or acceptance.
